RMM pricing in pounds: what UK MSPs actually pay at 100, 250, 500 and 1,000 endpoints

Not one of the major RMM vendors publishes a price in pounds. The rate card is in dollars, the unit is per endpoint or per technician depending on which flatters the vendor, the add-ons surface after the demo, and VAT is nobody's problem until the invoice arrives. RMM pricing in the UK is therefore a translation exercise, and most buyers do the translation badly or not at all. Here is the exercise done properly: six vendors, four endpoint counts, all-in monthly and annual figures in pounds, with every assumption stated.

The pricing page is not the price. The quote is not the total. The invoice, in pounds, after VAT, is the price.

How we built these UK RMM pricing figures

Every number below needs a date and an exchange rate attached, so here they are. List prices are as published on vendor pricing pages, and quote figures come from the pricing we gathered for our NinjaOne alternatives head-to-head, collected in the fourth quarter of 2025. Dollar figures are converted at $1.27 to the pound and rounded to the nearest £5. Quote-only vendors negotiate, so treat their figures as the middle of a range, not a ceiling.

Other assumptions, because per-technician pricing forces them: we assume one technician at 100 endpoints, two at 250, three at 500 and five at 1,000, which is roughly 100 to 200 endpoints per technician, the normal shape of a small UK MSP. Annual billing is assumed wherever it carries a discount. All figures exclude VAT: US vendors invoice under the reverse charge if you are VAT registered, so you account for the 20 per cent yourself, and if you are not registered it is a real cost, not a passthrough.

The all-in monthly totals in pounds

Annual figures are the monthly figure times twelve, because the annual discount is already baked in where one exists. So NinjaOne at 500 endpoints is roughly £14,900 a year, Level roughly £9,400, and Atera roughly £5,100. The spread at the same endpoint count is more than double, which is the entire argument for doing this arithmetic before a renewal rather than after.

Vendor by vendor: add-ons, minimums and contracts

  • Atera. Per technician with unlimited endpoints, listed at roughly $179 per technician per month on annual billing for the mid MSP plan. Patching and remote access are included; network discovery is a paid add-on and antivirus comes through separately billed integrations. Billed in dollars. The cost never moves with endpoint growth, only with headcount, which is either the best or worst thing about it depending on your ratio.
  • NinjaOne. Quote-only, per endpoint, with quotes in our Q4 2025 data landing between $3.00 and $3.50 per endpoint per month depending on volume. Remote access and patching are included; backup and documentation are separate SKUs. Annual commitment is the standard offer, and quote-only pricing means you enter the negotiation blind while the vendor does not.
  • Syncro. Per user, roughly $129 per user per month on annual billing, endpoints unlimited, PSA included. The trap is the unit: a part-time technician or a helpdesk-only hire costs the same as a senior engineer, so the per-user price is precise about the wrong thing.
  • Datto RMM. Quote-only, per endpoint, with quotes we have seen running $2.50 to $3.25 monthly by volume. The contract matters more than the rate: one to three year terms with auto-renewal and minimum device commitments are normal under Kaseya ownership. Skip the renewal-notice diary entry and the contract renews itself.
  • N-able. Per endpoint on a volume tier, roughly $1.65 to $2.10 in the quotes we gathered once patching is included, with a minimum monthly spend that makes it poor value below about 100 endpoints. EDR and backup are add-ons, billed in dollars.
  • Level. Published pricing at $2 per endpoint per month, monthly billing, no minimum, no contract. Refreshingly checkable. But it is an RMM only: ticketing, PSA and billing come from a second vendor, so the table understates the stack cost by whatever that vendor charges.

The per-tech versus per-endpoint crossover, in pounds

UK MSPs at one to five technicians sit exactly on the line where the two models swap places, so it is worth finding the line. The arithmetic is one division: take the per-technician monthly price in pounds and divide it by the per-endpoint monthly price in pounds. Atera at £140 per technician against a blended £2.50 per endpoint gives 56. Below 56 endpoints per technician, per-endpoint pricing wins. Above it, per-technician pricing wins, and at a typical UK ratio of 150 to 200 endpoints per technician it wins heavily.

Rule of thumb: at current list prices, per-technician pricing beats per-endpoint pricing once each technician covers roughly 55 to 60 endpoints. Most established MSPs are well past that. Most one-person shops with a helpdesk hire are not.

The complication is that per-technician vendors know this, which is why the model comes with add-ons and why the unit punishes flexible staffing. The crossover tells you which model is cheaper today. It does not tell you which one stays cheap as you hire, and we have written before about when flat rate pricing beats both.

Exchange rate exposure: the line item nobody models

Five of the six vendors above bill in dollars, which means the pound figure on this page is only true at $1.27. Sterling has traded across a range wide enough in recent years that the same NinjaOne contract could plausibly move by ten per cent in either direction between signing and renewal without the vendor changing a single price. On £14,900 a year that is nearly £1,500 of movement you did not negotiate and cannot control. A one-year commitment in dollars is a small currency position; a three-year Datto term is a larger one. Price your own client contracts in pounds against a cost base in dollars and the mismatch is yours to absorb.

A formula for your own endpoint count

The tiers above bracket most UK MSPs, but your number is your number, so here is the calculation to run for any vendor:

  1. Get the true unit rate. Quoted per-endpoint or per-technician rate, in dollars, after any annual discount you will actually take.
  2. Add the mandatory add-ons. Patching, remote access, backup monitoring and AV integration if they are separate SKUs. If the demo needed it, the price includes it.
  3. Apply the minimum. If your spend falls below the vendor's minimum commitment, the minimum is your price.
  4. Convert and load for FX. Divide by the current dollar rate, then add five per cent as a currency buffer if the contract runs a year or more.
  5. Sanity-check against revenue. Divide the monthly total by your MRR. Our piece on modelling tooling costs as a percentage of MRR covers what a healthy number looks like; if the RMM alone is eating several per cent, the model is wrong for your shape.

Worked example: 180 endpoints at $3.25 quoted, backup monitoring at $0.50 extra, no minimum triggered. (180 × $3.75) ÷ 1.27 = £531 a month, £558 with the FX buffer, roughly £6,700 a year before VAT treatment.

Where this fits with Helios
