The cheapest RMM for a small MSP in 2026
Every RMM says it is affordable. So we priced the same small MSP on ten of them: two technicians, 40 devices, paying monthly. Here is what each costs, where the number comes from, and what you get for it.
Written with respect. We ran an MSP on several of the products we compare, we rate them, and without them Helios would not exist. These pages are here because buyers deserve the facts, not because we want a fight.
The short answer
- For monitoring alone, Level is the cheapest we found: the first 10 devices are free and the rest are $2 each, so 40 devices is $60 a month (published price).
- ManageEngine Endpoint Central MSP is next on a published list: $104 a month in the cloud for up to 50 endpoints.
- Once you also need a helpdesk, per-technician pricing takes over. Syncro Core and Atera Pro are $258 a month for two technicians on annual billing.
- Helios is $129 a month for up to 50 devices ($5 a device on Launch below 25), and that is the whole platform, not an RMM plus a helpdesk: patching, remote access, Microsoft 365 checks, backup monitoring, billing and Helio, the AI technician that fixes problems. No Helios price changes with the number of technicians.
- Quote-only products (NinjaOne, Datto RMM, N-able, Kaseya) come out between about $120 and $250 a month on reported figures, with minimums that can matter more than the rate.
- The rate is rarely the whole bill. Check minimums, add-ons and the renewal terms before you compare.
The example: two technicians, 40 devices
Prices are per month in US dollars, the way the vendors publish them. Where a product only quotes, we use the reported figures from our own pricing pages, each dated and sourced there. List means the vendor publishes it. Reported means buyer data or estimates.

Two things move this table more than anything else. Add a third technician and every per-technician product goes up by a third, while per-device and flat products stay put. Grow past a band edge and flat or banded products step up, while per-device ones rise smoothly.
Cheapest for monitoring alone
If you already have a helpdesk you like, the cheapest monitoring is Level. Its price is published, month to month, with no contract, and the first 10 devices are free with no time limit. ManageEngine is the other published list, and cheaper per device than Level once you pass a few hundred endpoints.
The catch with both is the same: they are RMMs. Tickets, SLAs and client billing live in a second product at a second price.
Cheapest once you need more than monitoring
Most small MSPs need both, and this is where the model matters more than the rate. Per-technician products like Syncro and Atera include unlimited devices but charge for every person who works tickets. Two technicians on either is $258 a month on annual billing.
Helios charges per plan instead: $5 a device on Launch up to 25 devices, then $129 a month for up to 50 devices, any number of technicians. That price is the whole platform: the service desk with SLAs, patching including third-party apps, remote access, Microsoft 365 and Defender checks, backup monitoring, network discovery, a client portal, reports and QBRs, billing into Xero or QuickBooks, and Helio, the AI technician that investigates problems, writes the fix and runs it. On most products in this table several of those are separate tools or paid add-ons. For a two-person shop the price alone is about half the per-technician figure, and the gap in what is included is wider than the gap in price.
What the rate leaves out
- Minimums. NinjaOne buyers report floors of $200 to $250 a month, N-central commonly needs around 100 devices, and Kaseya 365 a reported 50. Below those, the rate is irrelevant.
- Add-ons. Backup, endpoint security and mobile device management are often priced per device on top. On NinjaOne, endpoint security alone is reported at $3.60 to $5 a device.
- Renewal terms. N-able's and Kaseya's own agreements allow renewal rises of up to 5% plus US inflation, and Kaseya renews for the same length as the term that ended. See each pricing page for the clause.
- Implementation. Larger platforms charge for onboarding. Level, NinjaOne and Helios do not.
Pick the model, not the number
The headline price is for today; the pricing model is for every renewal after it. Per-device pricing punishes winning a client. Per-technician pricing punishes hiring. Flat plans step up at band edges. Choose the penalty you can live with at twice your current size, not the one that looks cheapest this month.
What to test in a trial
Do not tour features. Run a real week through each shortlisted product:
- Deploy the agent to twenty mixed machines, including one that is awkward.
- Leave the default alerting on for five days and count the noise.
- Patch a machine with a Windows update you know misbehaves.
- Take a remote session from a browser on a client's network.
- Email a request into the ticket queue and see what happens to it.
The right RMM for a small MSP is the one whose defaults make sense on day one and whose price still makes sense at twice your size.
Our view
If you only need monitoring and want the lowest bill, pick Level. If you need the rest of the job too, the service desk, patching, Microsoft 365, backup checks and something that actually fixes problems, compare the whole bill rather than the RMM line. Why are some RMMs charged per technician?
Products that combine RMM and PSA, like Syncro and Atera, price by the people working tickets and include unlimited devices. It is cheap for a solo operator and gets expensive as the team grows.
