Autotask pricing in 2026: what Datto's PSA really costs a small MSP

Insights By the Helios team · 1 November 2026 · 6 min read

Datto does not publish Autotask pricing. Autotask PSA is sold by quote, licensed per user per month, usually on an annual or multi-year agreement with a minimum seat count, and the figure moves depending on whether you bundle it with Datto RMM and other Kaseya products. That means any exact number you read online is a guess unless it names a source and a date. Here is how the model works, and how to cost it properly.

Why Autotask pricing is so hard to pin down

Since Kaseya bought Datto, Autotask has been sold the Kaseya way: a sales call, a tailored quote, and a discount that depends on what else you buy. There is no public rate card on the vendor's site, and the price two MSPs pay for the same seat count can differ noticeably.

This is why page one of a search for Autotask pricing is full of thin breakdown blogs quoting confident per-user figures with no source. Some of those numbers may once have been close. None of them tells you what you will be offered this year. A number without a date and a source is a guess wearing a spreadsheet's clothes.

The honest approach is to understand the structure of the price, then make the vendor fill in the figures in writing.

The per-user model: who counts as a user

Autotask is licensed per user, which in practice means per named person who logs in to work tickets, log time or manage contracts. That is a different shape from per-endpoint RMM pricing, and it has consequences for a small MSP:

To compare a per-user PSA fairly with per-device tools, convert everything to a cost per endpoint. Our guide to calculating MSP tooling cost per endpoint walks through the arithmetic.

Minimums and contract length

Two terms matter more than the headline seat rate.

Minimum seat commitments. Quotes for Autotask commonly carry a minimum number of users. For a two or three-technician MSP, a minimum above your real headcount means paying for seats nobody uses, which quietly inflates the effective per-user price.

Term length. Agreements are typically annual or longer, and multi-year terms are widely reported as the way to unlock the better discounts. The trade is simple: a lower monthly figure in exchange for losing the ability to leave. Check the auto-renewal clause and the written notice window, because missing it can roll you into another full term.

The renewal test: before signing, write down the date you would need to give notice to leave, and the total you would owe if you wanted out in month thirteen. If either answer is unclear from the contract, the price is not finished yet.

The Datto RMM bundle: cheaper, and stickier

Autotask is frequently sold alongside Datto RMM, and bundling is where the most generous discounts tend to appear. Datto RMM is priced separately on a per-device basis; you can see how Datto presents it on the Datto RMM pricing page, though, like Autotask, the final number comes through a quote.

The bundle is genuinely useful in one respect: the two products integrate, so alerts, tickets and device records line up without a third-party connector. But a bundle discount usually ties the terms together. Leave one product early and the other may reprice, or the discount on both may fall away. The wider Kaseya IT Complete bundle works the same way, with more products and more strings attached.

A bundle discount is a lower price for a higher switching cost. Both halves of that sentence belong in the decision.

How to cost an Autotask quote yourself

Rather than trusting a third-party estimate, build your own number from the quote:

  1. List real users. Count everyone who will log in, by role, and compare that with any minimum in the quote.
  2. Separate the bundle. Ask for Autotask priced alone and with Datto RMM, so you know what the discount is worth and what you lose if you unbundle.
  3. Add the extras. Onboarding, implementation help, premium support and add-on modules are often quoted separately. Ask for each in writing.
  4. Annualise across the full term. Multiply the monthly figure by the months you are committed to, then add any price uplift clause at renewal.
  5. Divide by endpoints. Turn the total into a per-endpoint monthly figure so you can compare it against per-device and flat-priced alternatives.

For a dated, sourced view of the vendors that do publish their rates, the MSP software price index puts the public rate cards in one table.

When Autotask pricing makes sense, and when it does not

Autotask is a mature PSA with deep contract, billing and project features. For an MSP already committed to Datto RMM and comfortable with multi-year terms, the bundled price can be reasonable for what you get.

It fits less well when headcount is changing, when you want to keep the option of leaving each year, or when your client base is small enough that a seat minimum pushes the effective cost up. If that sounds like your position, our look at Autotask alternatives covers the PSAs worth shortlisting.

Where this fits with Helios

Helios takes the opposite approach to pricing: it is published, priced by fleet size rather than per technician, with every feature on every plan, from £15 a month and no charge per technician. Monitoring, patching and the PSA side (helpdesk with SLA clocks, time tracking and billing into Xero or QuickBooks) sit in one product, so there is no bundle to unpick later. Most of the checklist above is about reading contracts carefully, and no tool does that for you. If you want to run the per-endpoint comparison against real figures, the Helios pricing page lists them.

Common questions about Autotask pricing

Is there a free trial of Autotask PSA?

Datto has historically offered Autotask demos and evaluations through its sales team rather than an open self-service sign-up. Whether a trial is available, and for how long, is decided case by case, so ask the account manager directly and get the evaluation terms in writing before you load real client data into Autotask.

Can I buy Autotask without Datto RMM?

Autotask PSA can be bought on its own and integrates with other RMM tools, including some competitors. The trade-off is price: the strongest Autotask discounts are generally tied to buying Datto RMM or wider Kaseya products alongside it, so ask for the standalone and bundled quotes side by side.

How hard is it to leave Autotask at the end of a contract?

Leaving Autotask is mostly a matter of timing and data. Give notice inside the window your agreement specifies, then export tickets, contracts and time entries before access ends. Planning the export around a billing cycle avoids gaps, as covered in our guide to migrating from Datto Autotask PSA.
