What is RMM?
A plain-language explanation of the software category that quietly runs most of the world's small-business IT, written by people who have spent years inside it.

The short answer
- RMM stands for remote monitoring and management: software that installs a small agent on each computer so one technician can watch, maintain and fix a whole fleet without visiting it.
- Its core jobs are monitoring (health, disk, services), patching (OS and application updates), automation (scripts and scheduled maintenance) and remote access.
- RMM is not a PSA (that is tickets, time and billing), not MDM (phones and tablets), and not EDR (threat detection), though modern platforms increasingly bundle them.
- MSPs are the classic buyers, using RMM to manage many client companies from one screen; internal IT teams use the same tools for their own estate.
- Pricing models in 2026: per endpoint (roughly $1 to $6 per device per month), per technician (roughly $79 to $249 per month), or flat platform fees.
- The newest shift is AI doing the work rather than assisting it: investigating alerts, writing fixes and resolving routine tickets under human guardrails.
The definition
RMM stands for remote monitoring and management. It is software that installs a small background program, called an agent, on every computer you look after, so that one technician can watch the health of hundreds or thousands of machines, keep them patched, run maintenance on them and fix them, all without leaving their desk. If a managed service provider is responsible for your company's computers, an RMM agent is almost certainly running on the machine you are reading this on.
What an RMM actually does
- Monitoring. The agent reports each machine's vital signs continuously: CPU, memory, disk space and disk health, running services, uptime, pending reboots, security product status. Rules turn bad readings into alerts, so a filling disk is a task on Tuesday rather than an outage on Saturday.
- Patch management. Operating system and application updates, approved and installed on schedules, with reporting on what is missing where. This is the single biggest security job an RMM does, because most real-world breaches exploit a patch that existed and was not installed.
- Automation. Scripts and scheduled tasks that run across many machines at once: clearing temp files, restarting a stuck service, installing software, enforcing settings. Good automation is what lets one technician manage hundreds of endpoints.
- Remote access. Seeing and controlling a machine's screen to help the person at it, and increasingly background access, working on a machine's files, services or terminal without interrupting the user at all.
- Inventory and reporting. What hardware exists, what software is on it, what state it is in, and reports that prove the work to whoever pays for it.
What an RMM is not
The categories blur more every year, but the distinctions still matter when you are buying:
- PSA (professional services automation) is the business side: tickets, SLAs, time tracking, billing. RMM manages machines; PSA manages the work and the money. Many platforms now bundle both.
- MDM (mobile device management) governs phones and tablets via the enrolment frameworks Apple and Google provide, a genuinely different mechanism from an installed agent.
- EDR (endpoint detection and response) hunts for attackers on machines. An RMM often deploys and monitors the EDR, but they are different jobs and usually different licences.
Who uses RMM
Managed service providers are the classic buyers: businesses that look after other companies' IT for a monthly fee. An MSP's RMM is its central nervous system, with every client's fleet in one console. Internal IT teams buy the same tools for their own estate, which is why most vendors now sell both editions. How RMM is priced in 2026
Three models dominate, and the differences compound at scale:
- Per endpoint: roughly $1 to $6 per device per month depending on volume and vendor. Predictable per machine; grows with every device you add. NinjaOne and Datto RMM sell this way (see NinjaOne pricing).
- Per technician: roughly $79 to $249 per technician per month with unlimited endpoints. Generous for big fleets per tech; the seats become the meter. Atera made this model famous (see Atera pricing).
- Flat platform pricing: a fixed fee by fleet band, so the bill steps rather than creeps. This is the newest model and the one Helios uses.
Where the category is going
The 2026 shift is from AI that assists to AI that works: platforms whose AI investigates an alert by reading the machine itself, writes and verifies a fix, and resolves routine tickets, with humans setting the guardrails rather than doing the typing. Vendors differ hugely on how much of this is real versus roadmap, which is exactly the kind of claim worth testing on a live trial rather than a slide.
